Progress note event time restrictions

Find out how far back or forward you can set the Event Date and Time for a progress note, and where to change this limit.

Written by Emma Ianson

The Progress Note Event Time Restrictions setting controls how far into the past or future you can set the Event Date and Time when you create a progress note. This helps your organisation record documentation within an appropriate timeframe, which supports accurate record-keeping, compliance, and audit requirements. You need administrator permissions to change this setting.

⚠️Important: This setting is configured per facility, so each facility can set its own documentation time restrictions.

Where to configure

Administrators configure the Progress Note Event Time Restrictions in the Progress Note Configuration settings. The configuration has two separate allowances: The Past Time Allowance and the Future Time Allowance.

  1. Click Admin, then click Care.

  2. Click Progress Note Configuration.

Past Time Allowance

The Past Time Allowance sets how many hours into the past a user can set the Event Date and Time when recording a progress note.

Example

If the Past Time Allowance is set to 2 hours:

  • A user can record an event that occurred within the last 2 hours.

  • A user cannot record an event that occurred more than 2 hours ago.

If a user tries to save a progress note outside the allowed timeframe, the system won't let them save it. The Add Note button is greyed out.

Future Time Allowance

The Future Time Allowance sets how many hours into the future a user can set the Event Date and Time. This is useful when you record planned activities or anticipated events.

Example

If the Future Time Allowance is set to 1 hour:

  • A user can record an event up to 1 hour ahead of the current time.

  • A user cannot record an event beyond the configured future allowance.

If the allowed timeframe is exceeded, the system won't let the user save the progress note. The Add Note button is greyed out.

Why use event time restrictions

Event time restrictions help your organisation keep documentation accurate and timely. They:

  • Encourage staff to record events as close as possible to when they occur.

  • Reduce excessive backdating of progress notes.

  • Prevent incorrect future-dated records.

  • Support compliance and audit requirements.

  • Improve the reliability and accuracy of resident records.
