The Outstanding Scheduled Actions panel shows the care and medication tasks that are due for your residents across your facilities. It covers a rolling two-hour window, from 60 minutes before the current time to 60 minutes after it. The panel refreshes every 60 seconds, so the list stays current. It is designed for Registered Managers and care and clinical staff, and it sits in the Evo Navigator quick panel so it stays visible alongside your other work.
📌Note: Depending on how your organisation has set up the panel, resident names may be shown in full or partly obscured, for example P•••••••• B••••. You can't change this setting within the panel.
Filter the list
Use the filter bar to show only the actions you need. The filters work together, so an action has to pass every active filter to appear in the list.
Filter by facility
Click the All Facilities dropdown, then select a facility, such as Maple Lodge, Birchwood House, Riverside Care, or Elmwood Gardens. The button turns teal to show a facility filter is active. To see every facility again, select All Facilities.
Filter by date range
The date range picker is set to All Time by default.
Click the date range picker.
Select a preset: Today, Last 7 Days, Last 14 Days, Last 30 Days, Last 3 Months, or Last 6 Months.
To choose your own dates, click Custom, select your from and to dates in the calendar, then click Select. Click Clear to reset the range to All Time.
Filter by category
Use the three-way switch to show All, Care, or Meds actions. Click Care to show only clinical care tasks, or click Meds to show only medication tasks. If your organisation doesn't have the medication or clinical module enabled for Access Point of Care, that category doesn't appear, whichever option you select.
Show only your actions
Turn on the My actions toggle to show only the actions assigned to you. Turn it off to see everyone's actions.
Check the live counts
Four small coloured pills on the right of the filter bar show live counts for Missed, Overdue, Current, and Upcoming actions. The counts reflect the filters you have applied. Hover over a pill to see what that state means.
Understand how actions are grouped
Every action appears in one of four sections, always shown in the order below. A section disappears if it has no actions in it.
Section | Colour | Count pill | Meaning |
Missed (last hour) | Red | Missed | Was due within the last hour and wasn't completed in time. |
Overdue | Orange | Overdue | Past its due time and still outstanding. |
This Hour | Blue | Current | Due within the current clock-hour. |
Next Hour | Slate | Upcoming | Due within the following clock-hour. |
Within each section, actions flagged as priority appear first. All other actions follow in order of due time, soonest first.
Click a section's header to collapse or expand it. This helps you hide the sections you don't need to focus on right now.
If no actions match your filters, the panel shows the message 'No outstanding actions. All clear for [time window].'
Read an action card
Each action appears as a compact card. The card shows:
The task title. Long titles end with an ellipsis (…), so hover over the title to see the full text.
The resident's name and room number.
The scheduled time.
A category badge: purple for Meds, or teal for Care.
A state badge in the section colour, which shows how many minutes overdue the action is, where relevant.
A priority flag icon, if the action is flagged as important.
A chevron, which shows that you can expand the card.
Click anywhere on the card to expand it. Only one card can be open at a time, so opening another card closes the one that was open before.
View action details
An expanded card reveals a detail panel beneath it. The header band matches the action's state, and it can also show an In Progress badge, a Priority badge, a three-dot menu, and a chevron to collapse the card again. The detail fields are:
Scheduled: the time and full date.
Recurrence: the repeat pattern, if the action recurs.
Category: Meds or Care.
Resident: the resident's full name.
Room: the resident's room number.
Assigned: the staff member responsible, or Unassigned if nobody has been assigned yet.
Notes: any clinical notes attached to the action, if present.
Complete an action
Complete an action once you have carried it out. A note is required, so record what happened.
Expand the action card.
Click Mark Complete. For a missed action, click Record Outcome instead.
Enter a note of up to 500 characters. A live counter shows how much room you have left.
Click Confirm.
The dialog shows the scheduled time, the time you complete the action, and your name. After you confirm, a brief saving animation plays, and then a teal completed stamp appears on the action. The action stays in the panel until the next refresh, so you can review the stamp or undo the completion.
🤓Tip: If you close the dialog without saving, your draft is kept. Reopen the dialog to restore it, and a small notice confirms that the draft has been restored.
Edit a completion note
Click the pencil icon on the completed stamp.
Make your changes, then save them.
If you try to close the dialog without saving, an inline warning appears with the message 'Unsaved changes'. Click Discard to close the dialog without keeping your changes.
Undo a completion
Expand the action card.
Click Undo Complete.
The action returns to its outstanding section, and the completed stamp disappears.
Assign an action
Assign an action to the staff member responsible for it. You can assign it to yourself, or choose a colleague from the full staff list.
Expand the action card.
Click the three-dot icon (⋮), then click Assign User. If someone is already assigned, the option reads Reassign followed by their name.
Click Assign to me, or select a staff member from the list. The current assignee, if there is one, is already selected.
Click Assign to confirm, or click Cancel to close the dialog without making changes.
Use the three-dot menu
The three-dot menu (⋮) in the detail header holds the secondary actions for an item. To open it, expand the action card, then click the three-dot icon.
Option | What it does |
Start Action | Marks the action as In Progress, shown with a blue badge. This option is unavailable once the action is in progress, completed, or marked not required. |
Assign User or Reassign | Opens a dialog to assign or change who is responsible for the action. |
Add Priority or Remove Priority | Flags the action as high priority, so it moves to the top of its section. |
Mark Not Required | Opens a dialog to record why the action doesn't need doing. |
Edit Action | Opens a dialog to change the action's details. This option isn't available for completed or not-required actions, or for certain automatically generated action types. |
Mark an action as not required
Use this option when an action doesn't need doing, for example because a resident has declined it.
Expand the action card, then click the three-dot icon (⋮).
Click Mark Not Required.
Choose a standard reason, such as resident declined, not clinically needed, duplicate, or on hold. To enter your own reason, select Other, then type it.
Click Confirm.
⚠️Important: Marking an action as not required removes it from the panel straight away.
Edit an action
Use Edit Action to correct or update an action's details. The fields you can change depend on whether the action is a one-off task or a recurring action.
Expand the action card, then click the three-dot icon (⋮).
Click Edit Action.
Change the fields you need.
Click Save. The button becomes available once you have changed something and all required fields are valid.
One-off actions: you can change the following:
Action Name, Notes, Assigned Resident, Roles, Due Date, and Due Time. A due date can't be set in the past.
A mandatory Edit Reason of at least 10 characters, which is kept for the clinical audit trail.
Recurring actions: you can change the following:
Action Name, Notes, and Roles.
The schedule is read-only, and no Edit Reason is required.
📌Note: If you reschedule a missed action to a future time, it moves into the correct section once you save.
Tips for using the panel
The panel refreshes every 60 seconds. Click the refresh icon to update the list straight away.
Filters work together. If the list is empty, check whether a date range, facility, or category filter is narrowing it too far.
Completed and not-required actions are removed from the list. To find one again, click View in Actions before you complete the action, or check the full Actions module.
