Add a new resident

Steps to add a new resident record in Access Point of Care, including admission details, health information, and contacts.

You can add a new resident to Access Point of Care using the Add Resident wizard. This guide walks you through the steps.

📌Note: You must have the correct permissions to complete this process.


Add a new resident

  1. Go to the Resident tab and select Add Resident.

  2. A progress bar will show the 10 steps required.

  3. Enter basic resident details and choose their status:

    • Active List – resident is admitted

    • Wait List – resident is not yet admitted

  4. Enter the admission date, time, residency type, and facility.

  5. Upload a resident photo, preview it, add the date taken, and click Confirm Photo.

  6. Add demographic details or skip ahead to the review stage.

  7. You’ll be asked to enter or confirm:

    1. Resident ID (or leave blank for an automatic ID)

    2. Room name/number (optional)

    3. Dependency level and initial admission details

    4. Contact and personal information (phone, address, email, preferred contact method, language, ethnicity, religion, marital status, funding and payment details)

    5. Health care identifiers (NHS number, national insurance number, insurance details)

    6. Clinical information, including:

      • Allergies

      • COVID‑19 status

      • Dietary needs

      • Special needs

      • Usual bowel pattern

      • Height, weight, blood pressure, pulse, blood glucose, fluid intake, O₂ saturation

      • DNAR status and funeral preferences

    7. Previous care setting details

    8. Primary and secondary contacts, including notes

    9. Responsible person and power of attorney details

    10. Medical Contacts

  8. Review all entered information.

  9. Ensure all mandatory fields are completed.

  10. Click Add Resident to finish and add the resident to the active list.
